Miami-Dade County Board of County Commissioners adopted a resolution authorizing an additional three-year term with two one-year options to renew for Documentum Software License, Support, and Maintenance Services. The expenditure authority is increased by $7,346,096.00, bringing the total modified amount to $13,405,520.00 for Contract No. BW733-2/25. This contract is for the Communications, Information and Technology Department (CITD) on behalf of County departments and Constitutional offices. The software sustains two systems: TeamSite for web content management and Documentum for enterprise content management, supporting web publishing, document management, and operational effectiveness. The contract with OpenText, Inc. was originally awarded in 2021 for a five-year term. The extension is considered the most cost-effective approach to ensure uninterrupted access to services while plans for a future procurement of a new ECM system are developed. The County Mayor is authorized to execute supplemental agreements and exercise contract provisions. Public comment during the Intergovernmental and Economic Impact Committee meeting raised questions about the affiliation and cost-sharing of Constitutional offices using the service, data protection, and the County's approach to supporting offices that may choose to discontinue the service. The department confirmed data is not mixed and is maintained securely. The Tax Collector's Office expressed it was not funding resources for continued growth of the service, but no discussions of shutting it down were mentioned.
