Miami-Dade County Commissioners adopted a resolution authorizing an additional three-year term and two one-year options to renew for Contract No. BW733-2/25, for Documentum Software License, Support, and Maintenance Services. The expenditure authority is increased by $7,346,096.00, bringing the total modified amount to $13,405,520.00. This contract, held with OpenText, Inc., supports the Communications, Information and Technology Department (CITD) on behalf of County departments and Constitutional offices, covering both the Documentum Enterprise Content Management (ECM) system and the TeamSite web content management platform. The extension is intended to allow for uninterrupted service and to facilitate the development of requirements for a future ECM system. During committee review, concerns were raised by Vice Chairwoman Milian Orbis regarding the affiliation and cost-sharing of Constitutional offices using the service, data protection, and the County's process for unwinding services if an office chooses to separate. Mr. Jose Lopez of CITD responded that the department supports several Constitutional offices, is analyzing technology ramifications for potential disengagement, maintains open dialogue, and confirmed that data is not mixed and is maintained securely. The Tax Collector's Office was mentioned as not funding resources for further growth of the service, but no discussions of shutting it down have occurred. The contract supports critical functions including web publishing for over 30 County websites, management of millions of documents, and compliance with Florida statutes.
