DOCUMENTUM
Board of County Commissioners · 2026-06-02 · resolution
Miami-Dade County Board of County Commissioners adopted a resolution authorizing an additional three-year term with two one-year options to renew for Contract No. BW733-2/25, for Documentum Software License, Support, and Maintenance Services. The expenditure authority is increased by $7,346,096.00, bringing the total modified amount to $13,405,520.00. This contract is for the Communications, Information and Technology Department (CITD) on behalf of County departments and Constitutional offices. The software sustains two systems: TeamSite for web content management and Documentum for enterprise content management, supporting web publishing, document management, and operational effectiveness. The contract was originally awarded to OpenText, Inc. in 2021 for a five-year term, with a prior procurement in 2011. The extension is considered the most cost-effective approach to ensure uninterrupted access to services while future system specifications are developed. The County Mayor is authorized to execute supplemental agreements and exercise contract provisions. Public comment during the Intergovernmental and Economic Impact Committee meeting raised questions regarding the use of Documentum by constitutional offices, their contribution to costs, data separation, and the County's strategy for unwinding services if offices choose to discontinue. The department confirmed data is not mixed and is maintained securely. The Tax Collector's Office expressed it was not funding resources for further growth of the service, but no discussions of shutting it down were mentioned.
