Miami-Dade County Board of County Commissioners adopted Resolution R-487-26, authorizing an additional three-year term with two one-year options to renew for Contract No. BW733-2/25, for Documentum software license, support, and maintenance services. The total modified expenditure authority is $13,405,520.00. This contract, held with OpenText, Inc., supports the Communications, Information and Technology Department (CITD) on behalf of County departments and Constitutional offices, providing enterprise web content management (TeamSite) and enterprise content management (Documentum) services. These systems manage millions of documents, support web publishing for over 30 County websites including miamidade.gov, and are critical for INFORMS system operations. The extension is considered the most cost-effective approach to ensure uninterrupted service while future procurement requirements are developed. During committee review, concerns were raised regarding the affiliation and cost-sharing of Constitutional offices using the service, data protection, and the County's strategy for unwinding services if offices choose to separate. The department confirmed data is not mixed, security is maintained, and dialogue with offices is ongoing. The Tax Collector's Office expressed it was not funding resources for service growth, but no shutdown discussions have occurred.
