Miami-Dade County Board of County Commissioners adopted Resolution R-487-26, authorizing an additional three-year term with two one-year options to renew for Contract No. BW733-2/25, for Documentum software license, support, and maintenance services. The total modified expenditure authority is $13,405,520.00. This contract, held with OpenText, Inc., supports the Communications, Information and Technology Department (CITD) on behalf of County departments and Constitutional Offices, covering both the Documentum Enterprise Content Management (ECM) system and the TeamSite web content management platform. The ECM manages County data, serving as an official document repository integrated into systems like INFORMS, and supports compliance and public records requests. TeamSite manages content for over 30 County websites, including miamidade.gov, and has been expanded to support all 34 municipalities for legal notices. The extension is considered the most cost-effective approach to avoid disruption while future system requirements are developed. During committee review, concerns were raised by Vice Chairwoman Milian Orbis regarding the affiliation and cost-sharing of Constitutional Offices using the service, data protection, and the County's unwinding strategy if offices choose to discontinue. Mr. Jose Lopez of CITD responded that the department supports these offices, is analyzing technology ramifications, maintains open dialogue, and confirmed data is securely maintained and not mixed with Constitutional Offices' data. The Tax Collector's Office expressed it was not funding resources for service growth, but no discussions of shutting down occurred.
