Miami-Dade County Board of County Commissioners adopted Resolution R-487-26, authorizing an additional three-year term with two one-year options to renew for Contract No. BW733-2/25, for Documentum software license, support, and maintenance services. The total modified expenditure authority is $13,405,520.00. This contract is for the Communications, Information and Technology Department (CITD) on behalf of County departments and Constitutional Offices. The contract sustains two systems: TeamSite for web content management and Documentum for enterprise content management, supporting web publishing, millions of documents, and operational effectiveness. The contract was originally awarded to OpenText, Inc. on July 20, 2021. During a committee meeting, concerns were raised by Vice Chairwoman Milian Orbis regarding the affiliation of constitutional offices with the County's services, their cost contributions, and data separation. Mr. Jose Lopez of CITD responded that the department supports several constitutional offices, is analyzing service discontinuation ramifications, and maintains open dialogue. He confirmed data is not mixed and is maintained securely. The Tax Collector's Office expressed it was not funding resources for service growth, but no discussions of shutting down occurred. The extension is considered the most cost-effective approach to avoid service interruption while specifications for a new system are developed.
