Miami-Dade County Commissioners adopted a resolution authorizing an additional three-year term and two one-year options to renew for Contract No. BW733-2/25, which provides Documentum software license, support, and maintenance services. The total modified expenditure authority for this contract is $13,405,520.00. The contract is for the Communications, Information and Technology Department (CITD) on behalf of County departments and Constitutional Offices. The services support both the Documentum Enterprise Content Management (ECM) system and the TeamSite web content management platform. The ECM manages County data, serves as an official document repository integrated into systems like INFORMS, and ensures compliance with public records requests and audits. TeamSite manages content for over 30 County websites, including miamidade.gov, and supports legal advertisements and public notices for all 34 municipalities. The extension is considered the most cost-effective approach to avoid disruption while requirements for a new system are developed. During a committee meeting, concerns were raised by Vice Chairwoman Milian Orbis regarding the affiliation of constitutional offices with the County's services, their contribution to costs, and data separation. Mr. Jose Lopez of CITD responded that the department supports several constitutional offices, is analyzing ramifications of potential service discontinuation, maintains open dialogue, and ensures data is not mixed and is maintained securely. The Tax Collector's Office expressed it was not funding resources to grow the service, but no discussions of shutting it down were mentioned.
