Miami-Dade County Commissioners adopted a resolution authorizing an additional three-year term and two one-year options to renew for Contract No. BW733-2/25, for Documentum software license, support, and maintenance services. The expenditure authority is increased by $7,346,096, bringing the total modified amount to $13,405,520. This contract, held with OpenText, Inc., supports the Communications, Information and Technology Department (CITD) on behalf of County departments and Constitutional offices. The software manages enterprise web content (TeamSite) and enterprise content (Documentum), including millions of mission-critical documents and supporting over 30 County websites. The extension is considered the most cost-effective approach to ensure uninterrupted service while future system requirements are developed. During committee review, concerns were raised regarding the affiliation and cost-sharing of Constitutional offices using the service, data protection, and the County's strategy for unwinding services if offices choose to separate. The department confirmed data is not mixed and is maintained securely, and that open dialogue exists with offices regarding service continuation. The Tax Collector's Office was mentioned as not funding resources for further growth of the service, but no discussions of shutting it down have occurred.
