Miami-Dade County Commissioners adopted a resolution authorizing an additional three-year term with two one-year options to renew for Documentum software license, support, and maintenance services. The expenditure authority is increased by $7,346,096, bringing the total modified amount to $13,405,520. This contract, BW733-2/25, is for the Communications, Information and Technology Department (CITD) on behalf of County departments and Constitutional offices. The software supports both the Documentum Enterprise Content Management (ECM) system and the TeamSite web content management platform. The ECM manages millions of County documents and is integrated with the INFORMS system. TeamSite manages content for over 30 County websites, including miamidade.gov, and has been expanded to support legal notices for all 34 municipalities. The extension is considered the most cost-effective approach to avoid disruption while requirements for a new system are developed. During committee review, concerns were raised by Vice Chairwoman Milian Orbis regarding constitutional offices' use of the service, their contribution to costs, and data separation. Mr. Jose Lopez from CITD responded that the department supports several constitutional offices, is analyzing ramifications of potential discontinuation, maintains open dialogue, and ensures data is not mixed and is maintained securely. The Tax Collector's Office expressed it was not funding resources for service growth, but no discussions of shutting down occurred.
