Miami-Dade County Board of County Commissioners adopted Resolution R-487-26 on June 2, 2026, authorizing an additional three-year term and two one-year options to renew for Contract No. BW733-2/25 with OpenText, Inc. for Documentum software license, support, and maintenance services. The total modified expenditure authority for this contract is $13,405,520.00. This contract is for the Communications, Information and Technology Department (CITD) on behalf of County departments and Constitutional Offices. The services support both the Documentum Enterprise Content Management (ECM) system and the TeamSite web content management platform, which manage millions of County documents and power over 30 County websites, including miamidade.gov. The extension is considered the most cost-effective approach to ensure uninterrupted service while future procurement requirements for a new ECM system are developed. During the Intergovernmental and Economic Impact Committee meeting on May 13, 2026, Vice Chairwoman Milian Orbis inquired about the affiliation of constitutional offices with the County's services, their contribution to costs, and data separation. Mr. Jose Lopez from CITD responded that the department supports several constitutional offices, is analyzing the ramifications of any office discontinuing service, and maintains open dialogue. He confirmed that data is not mixed and is maintained securely. The Tax Collector's Office expressed it was not funding resources to grow the service, but no discussions of shutting it down had occurred. The contract was originally awarded to OpenText on July 20, 2021, through Resolution R-768-21 for a five-year term, with the Documentum software initially procured through RFP No. 733 on November 15, 2011, via Resolution R-967-11.
