Miami-Dade County Commissioners adopted a resolution authorizing an additional three-year term and two one-year options to renew for Contract No. BW733-2/25, for Documentum software license, support, and maintenance services. The expenditure authority is increased by $7,346,096, bringing the total modified amount to $13,405,520. This contract, managed by the Communications, Information and Technology Department (CITD), supports both County departments and Constitutional offices. The software includes Documentum for Enterprise Content Management and TeamSite for web content management, used for managing millions of documents, supporting over 30 County websites, and facilitating public information dissemination. The extension is considered the most cost-effective approach to ensure uninterrupted service while future system requirements are developed. During committee review, concerns were raised by Vice Chairwoman Milian Orbis regarding the affiliation and cost-sharing of Constitutional offices using the service, data protection, and the County's process for unwinding services if an office chooses to separate. Mr. Jose Lopez from CITD responded that the department supports several Constitutional offices, is analyzing technology ramifications for potential disengagement, maintains open dialogue, and ensures data is not mixed and is maintained securely. The Tax Collector's Office was mentioned as not funding resources for further growth of the service, but no discussions of shutting it down were noted.
